Office Policies

We are excited you have chosen us to serve your children's dental needs. Our goal is to provide the very best dental and orthodontic care for our patients so that they achieve optimal dental health throughout their lifetime. We provide individualized care tailored to each patient specific needs. 

Our entire staff operates as a team. We take great pride in each staff member's training and capabilities. We want you to have the same confidence that we do and let them serve you fully. We feel that the more you know about our policies, the more we can be of service to you.

Hours of Business

Our office hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and selected Fridays. The office is closed between 11:45 A.M. and 12:45 P.M. If you call the office when we are not available, please leave a message on the answering machine. We will return your call as soon as possible. 

Emergency Care 

If your child requires emergency treatment, please call before coming to the office. 

We set aside specific times every day to see emergencies. If the emergency is after office hours on days we are not at the office, Please call our answering service at 

205-930-4240. Dr. Sanchez-Hernandez will return your call as soon as possible.  

Appointments 

Patients are seen by appointment only, so please call in advance so that we may reserve a time for you. We will work diligently to select an appointment time that works best with your schedule. We will provide a school or work excuse for the specific day and time of your appointment if one is necessary. 
We understand that unexpected situations can occur. However, If you are late for a scheduled appointment we reserve the right to reschedule the appointment for another day.

Cancellations of Appointments 

If you are unable to keep an appointment, please notify us immediately by calling 205-477-8004. A 48-HOURS NOTICE would be greatly appreciated. There is a high demand for our services, by canceling with enough time in advance you allow us to offer the appointment time to another patient. 

Not Keeping Appointments 

If a patient simply does not show up for an appointment after the appointment has been confirmed, our office reserves the right to charge a missed appointment fee of $40 per patient.

Fees and Payments 

As a courtesy to all of our patients, we will verify your insurance and submit all claims for the treatment provided. Please make sure to provide all current insurance information.  Any co-pay amounts or deductibles will need to be paid on the day of service. If there is a previous balance due on the account, that prior balance must be paid before new charges are incurred. Any difference in fees between what your insurance company will pay and what our charges are must also be paid on the day of service. 

We have a variety of payment options. Cash, check, MasterCard, Visa, Discover, American Express, Apple pay, and CareCredit. If a check is returned from the bank for non-sufficient funds, a $35 processing fee will be charged. 

If you have special circumstances and you need to make payment arrangements, please notify our front desk personnel. We will be happy to assist you. 

General Information 

Parents or responsible parties must remain in the office or its premises AT ALL TIMES during patient treatment. Children should not be left unattended in the waiting area. 

PLEASE, we ask that no food or drink be brought into the office. 

Cell phone use is allowed in the waiting room area.  Out of consideration to other patients please keep the volume to a reasonable level or use headphones. To protect the privacy of our patients Cell phone use is not allowed in treatment areas and conference rooms. Filming or taking photos is strictly prohibited in treatment areas.
